Report Settings: Toshiba Encompass

The Encompass Export is designed to make it very easy to export your account and audit history to an Excel spreadsheet that is ready to upload directly to Encompass.

Account Selection:
Select the account you wish to query using the Dealer Account dropdown.  If you wish to include the child accounts within the same hierarchy, select this option by placing a check in the box.

Date Range Selection:
The report will be generated based on the meter data available between the time period specified in the date selection dropdowns.  An algorithm is applied to the audit history which interpolates the delta monthly usage for each device.  The volume will be zero (blank field) if the printer or MFP was discovered on a single audit only.  Several Quick Date options exist, allowing you to make the selection process quicker, and later recall the report settings without the need to adjust a date range.

The following Quick Date options are available:

  1) None: manually select the start and end dates through the Start Date and End Date dropdowns.
       
  2) Current Month: queries the meters of the current month.
       
  3) Last Month: queries the meters of the previous month.
       
  4) Last Year: queries the meters of the previous year.
       
  5) QTR 1-4: queries the meters of the respective quarters of the current year.

Audit Information Available:
Click the Check For Audits button to perform a quick query to determine whether audits exist for the selected account and date range.

Include Toshiba Encompass Models:

Checked With the Only Encompass Models button checked (default), the printers and MFP's discovered during your audits will be filtered and the "Export to Encompass" results will only include those devices which are currently defined within Encompass.
Un-checked Advanced users may deselect the Only Encompass Models check box, and the results will include any additional printer and MFP models that are included in your audits, but which are not currently defined within Encompass.

You will be required to fill out any missing fields after you have uploaded the resulting Excel spreadsheet to Encompass.

Encompass Summary:
The summary shows the aggregated total number of unique printers and MFP's found within any audit between the Start and End dates.  This is followed by the number of manufacturers of those devices and the total breakdown for Mono and Color pages.  This information is only available after performing an export.

Export to Encompass:
The Export to Encompass generates an Excel spreadsheet with the appropriate columns and sort orders compatible with Encompass.

Encompass Spreadsheet Summary:

Column Header Description
Network Attached Flag If a device is discovered via the optional FMAudit Agent service for local printer support, this value will be set to N, otherwise it's a networked device with a value of Y.
User Product ID Serial number of device as extracted by FMAudit.
Monthly "X" Usage Delta monthly mono or color volumes based on a 30 day month.  These values are interpolated using the selected audits.

If the meter was not extracted by FMAudit, this value is set to zero.
If the device was only discovered on a single audit, this field is left blank.

"Y" Page Coverage Average mono or color toner coverage based on the Start and End dates of the selected audits.
Notes Includes the total pages printed for the selected device from the initial and final discovery dates within the Start and End date range.
Vendor and Model Model name of device as extracted by FMAudit, followed by the IP address.  If the Network Attached Flag is set to N indicating it's a local printer, the IP address will be that of the workstation.  Multiple local printers attached to the same workstation will have the same workstation IP address.

Save Settings:
The selected report options can be conveniently saved to the database allowing you to quickly restore the selections at a later date. The saved layouts are available globally to all who have permission to create the report.

To save a layout simply provide a New Layout Name and click the Save button.

To restore a layout simply select the desired layout from the Use Layout dropdown and click the Restore button.

To delete a layout, simply select the layout from the Use Layout dropdown and click the Delete button.
